Answer and direct phone calls Organize and schedule meetings and appointments Maintain contact lists of exiting clients, prospects Assist in the preparation of regularly scheduled reports (sales report, marketing reports, inventory reports) Develop and maintain a filing system Order office supplies Input invoices in accounting software Book travel arrangements when needed Logistics tasks: Daily order processing for existing clients Maintenance of Fulfillment By Anchanto (creation of products, stock transfers etc) which is our fulfillment platform. Organization of deliveries for restaurant and other clients Checking logistic provider invoices and raising discrepancies against agreed rates Inventory check and maintenance in Excel HR tasks: Drafting employment contracts for other employees in the company HR Management, our HR management software Maintain relationship with regular clients Post ads for jobs and review resume Finance tasks: Submit and reconcile expense reports Preparing monthly reporting of accounting documents to our accountants Maintenance of accounting software (Quick Books Online) with regular tasks such as invoicing and maintaining product lists, etc… Chasing payments Marketing Tasks: Assist in the preparation and execution of our participation to different trade shows and events Assist in implementing promotions and marketing collaborations (providing visual material to partners, following up on execution, etc…) Maintain Company’s website by editing and uploading content. Maintain Company’s e-commerce platform by editing and uploading content. Maintaining Social network accounts of the company based on the content provided. Updating product catalogue information when required

Jobs Requirement

Proven admin or assistant experience Knowledge of office management systems and procedures Excellent time management skills and ability to multi-task and prioritise work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organisational and planning skills Proficiency in MS Office
