Jobs Description

The Administration’s office is responsible for maintaining the daily operations and in particular, ensuring its integrity and efficiency. The ideal candidate would be the one who has experience in Administration and academia from an administrative perspective with an understanding of technology-based solutions to increase efficiencies and data integrity in managing student records. The ideal candidate shall also have utmost integrity and be able to work seamlessly with heads of faculty, lecturers, government ministries and students. The overall job description below outlines the main areas of responsibilities of the Employee: - Oversee UP facilities’ operations regularly and ensure that they are being conducted and run smoothly at all time; - Oversee and manage overall UP administration operations including environment and safety - Develop strategic plan for office level and organizational level; - Work collaboratively and effectively with other departments within the UP to make sure all administration policies and procedures are being followed; - Manage and provide leadership support as well as supervision and direction to the administration manager and other administration staffs; - Check and approve on the key performance indicator (KPIs) for administration staffs and ensure that they reach their KPIs then conduct performance appraisal for the administration staffs’ level - Develop staffs’ capacity through internal or external training; - Coach and mentor staffs to ensure that they can deliver effective and quality performance; - Manage overall office operations, negotiating contracts, manage vendor relationships and oversee the office operating systems; - Ensure all office properties are being utilized properly and effectively; - Oversee the network administration, manage phone system and help in the evaluation of the information systems of the UP; - Liaise with partner institutions, external agencies, government departments and prospective students (as point of contact person) and distribute the incoming information to related departments accordingly and timely; - Manage the budget plan of the administration department and oversee its development, review operation price and suggest different cost saving policies; - Facilitate effective student registration and enrollment; - Ensure the integrity, accuracy, and security of all academic records of current and former students; - Build secure student data files and sets policy and procedure for their responsible use; - Maintain up-to-date course schedules, catalogs, final examination schedules; - Manage efficient use of classrooms; - Supervise the processes for the articulation of transfer credits, graduation and certification of degrees, enrollment and degree verification, production of official transcripts and diplomas; - Counsel and advise students, faculty, and staff on academic matters; - Coordinate and manage student examinations; - Develop staff to be able to answer students’ queries and with a student-centric approach; - Liaise with heads of faculties, lecturers and government ministries; and - Undertake other responsibilities as assigned by the management.

Jobs Requirement

• Education:  Bachelor’s degree required  Master’s degree preferred • Experience:  A proven track record in administration, registration and records  Experience designing filing systems  5 years of experience in higher administration and education preferred • Skills/Competencies:  Excellent written and verbal communication skills in English (required) and Khmer (preferred);  Ability to manage multiple projects and establish and meet deadlines;  Proven ability to work with and value diverse staff;  Ability to be creative and exercise initiative;  Strong organizational and analytical skills with ability to handle large volumes of files and data;  Must be able to work independently, as well as to effectively collaborate to achieve results;  Strong interpersonal skills to interact successfully with academic as well as business and regulatory/ministry personnel;  Able to coordinate with the IT department to digitize records;  Understands a higher education environment; and  Must be proficient in Microsoft Office Suite software. • Personal Quality:  Honesty  Integrity  Enthusiasm
