Jobs Description

Day-to-day management of offices and logistics

  • Ensure the proper functioning of all company offices (Phnom Penh, Kampong Cham, Battambang, Siem Reap)
  • Ensure offices are adequately equipped with necessary facilities and tools
  • Ensure hygiene, safety, and workplace security in all offices, including the timely renewal of insurance policies
  • Manage the vehicle fleet (cars, motorbikes, trucks), including insurance renewal, maintenance, logistics, and allocation
  • Ensure all staff have appropriate equipment to perform their duties (uniforms, helmets, motorbikes, phones, laptops, insurance, etc.)
  • Ensure the safeguarding and registration of all company assets

Oversight of administrative functions supporting operations

  • Ensure all clearances (staff, stock, etc.) are processed accurately and on time, in line with Finance Department procedures
  • Ensure stock preparation and management comply with the logistics framework
  • Ensure effective implementation of current and new policies and procedures by administrative staff (data entry, cash collection, reporting)

Liaison with authorities and regulatory bodies

  • Act as focal point with ministries and NGO regulators
  • Represent the NGO in compliance-related meetings
  • Prepare and submit legal and administrative documentation to authorities
  • Respond to official notices, inspections, or regulatory requests
  • Provide administrative support to the Managing Director and management (official letters, meeting request, provincial report…)

Compliance with local legislation (non-routine)

  • Monitor updates to local legislation affecting NGOs (NGO Law, labor law, tax law, etc.)
  • Propose adjustments to internal policies or procedures to ensure continued legal compliance
  • Update the organization’s legal status following changes (name, address, governance, statutes)
  • Liaise with authorities, legal advisors, and external service providers
  • Ensure timely renewal and validity of all legal documents (MoUs, GDT registration, office registrations, etc.)
  • Ensure compliance of foreign staff documentation (visas, work permits)
  • Support legal and administrative audits
  • Ensure contracts, MoUs, and official agreements are properly prepared, validated, and archived
  • Translate relevant Cambodian legal guidelines into operational instructions to mitigate future risks
  • Perform another task assign by Manager
